Nexus Reports, Inc. (“Nexus Reports,” “we,” “us,” or “our”) operates the website at nexusreport.io and the web application at app.nexusreport.io (collectively, the “Platform”). We are committed to handling your information responsibly and transparently.

2. Who We Serve
The Platform is intended for use by licensed accounting professionals (“Accountants”) and their firms. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us information, please contact us at support@nexusreport.io.
3. Information We Collect
3.1 Account Information
When you register for an account, we collect information such as:
- Your name and professional title
- Firm or company name
- Email address and password (stored in hashed form)
- Billing name and contact details
3.2 Client Tax Activity Data
To generate nexus reports, Accountants enter financial activity data on behalf of their clients. This data consists of business activity metrics—such as revenue and payroll allocations by state—and does not include personally identifiable information about client individuals, such as Social Security numbers, individual names, or government-issued identification numbers. Accountants are responsible for ensuring they have appropriate authority to submit any data entered into the Platform.
3.3 Payment Information
Report purchases are processed through our third-party payment processor, Helcim. We do not store full credit card numbers or sensitive payment credentials on our servers. Helcim's privacy practices are governed by their own privacy policy.
3.4 Usage and Technical Data
When you use the Platform, we automatically collect certain technical information, including:
- IP address and general geographic location
- Browser type, operating system, and device identifiers
- Pages visited, features used, and actions taken within the Platform
- Session duration and referral source
3.5 Communications
If you contact us for support or submit feedback, we retain records of that correspondence, including your contact information and the content of your messages.
4. Cookies and Tracking Technologies
We use cookies and similar tracking technologies to operate and improve the Platform. Specifically:
- Google Analytics: We use Google Analytics to understand how users interact with the Platform. 6. Data Ownership and Use of Aggregated Data
Client tax activity data submitted through the Platform belongs to the Accountant and their firm. We process this data solely to generate and deliver the requested reports and to maintain the Platform.
We may create anonymized, aggregated datasets derived from activity data entered into the Platform (for example, patterns of multi-state business activity across industries). This aggregated data contains no information that could reasonably be used to identify any individual, firm, or client company. We may use and retain such aggregated data to improve our services, develop new features, and for research and analytical purposes.
7. How We Share Your Information
We do not sell your personal information. We may share your information only in the following circumstances:
- Service Providers: We engage trusted third-party vendors to help us operate the Platform, including cloud hosting providers, payment processors (Helcim), email delivery services, and analytics platforms (Google, Meta). These vendors are contractually required to handle information only as directed by us and in a manner consistent with this policy.
- Legal Compliance: We may disclose information if required to do so by law, regulation, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business Transfers: If Nexus Reports, Inc. is involved in a merger, acquisition, or sale of all or a portion of its assets, your information may be transferred as part of that transaction. We will notify you of any such change via a prominent notice on the Platform.

We retain account information and associated report data for as long as your account is active, and for a reasonable period thereafter as required by law or legitimate business need. If you request deletion of your account, we will delete or anonymize your personal information within 30 days, except where retention is required by applicable law or for the resolution of disputes.
Anonymized and aggregated data derived from your usage may be retained indefinitely, as it cannot be used to identify you.

We implement industry-standard technical and organizational measures designed to protect your information from unauthorized access, disclosure, alteration, and destruction. These measures include encrypted data transmission (TLS/SSL), access controls, and regular security reviews.
